How do I create/edit my own account?


To create your own account, your company must allow self-registration (either allowing immediate access or requiring approval). You will receive an invitation e-mail from your Travel Manager or travel arranger.

Accounts may also be created for you by Travel Managers or Global Arrangers.

To update your profile and preferences any time after you register, simply click My Profile in the top of page blue navigation bar to access your own user profile.

Passwords and Sign-In Settings



Member IDs and passwords are set when the user account is created. After registration, only the password can be changed.

Member ID: Your Member ID should be a word containing between 6 and 30 letters and/or numbers with no spaces. You will use your Member ID to sign in each time you want to make travel plans, so it should be unique and easy to remember. You might use your first and last name followed by a number (for example, JohnDoe5).

Passwords: A password must be at least 6 characters long, and must not have been used recently. You'll use this password each time you sign in to make travel plans. Be sure to verify your password by typing it a second time.

Traveler Preferences



To update a traveler's preferences, go to My Profile and click the links beside the traveler's name. Use the page displayed to make any necessary changes to frequent traveler accounts, and meal, seating, or assistance requests. Traveler preferences can also be changed whenever you reserve or purchase travel. We will always include your preferences as part of your reservation, but we cannot guarantee that your requests will be honored. Always confirm your requests before you travel.

Home Airports


Your home airport is the airport from which you most frequently depart. You can update your home airport at any time by going to My Profile and clicking Home Airport in the left column.

Privacy & Security on Egencia


Whenever you use Egencia's services, you are automatically signed in securely unless you choose otherwise. All your transactions are protected by powerful Secure Sockets Layer (SSL) encryption technology and Private Communication Technology (PCT) security standards supported by Microsoft Internet Explorer 4.0, 5.0, 6.0 and other popular browsers. We are also pledged to protect your personal information, following the standards set by our privacy policy.

We will not distribute your name and e-mail address to third parties. However, we may share your e-mail address with our travel suppliers (for example, airlines, hotels, car rental companies, tour operators, etc.) so that they may contact you with regard to your travel plans should the need arise. What are Traveler Roles?



There are four levels of user access on Egencia:
ROLE PRIVILEGES
Travel Manager . . . Can arrange travel for all users and perform all administrative duties.
Global Arranger . . . Can arrange travel and access profiles for all users.
Arranger . . . Can arrange travel for assigned users and access their profiles.
Traveler . . . Can arrange own travel and access their own profile.
Guest . . . A "quick" one-time account for organized by type — account holders of this type do not have access to own accounts or company's site. A profile does not have to be created before travel is booked. Employees should not be assigned this role.

Travel Managers assign the security roles of all other user accounts. They can also set and change the status of the user accounts: Enabled, Disabled or Deleted.

Travel arranging is a powerful feature that allows Egencia users to book travel for other Egencia users. Travel arrangements are made directly in a user's account, so travel plans are accessible to them via Egencia whether they're on the road, at home, or in the office — 24 hours a day, 7 days a week.

How do I become a Global Arranger or an Arranger?



In order to become a Travel Arranger, you must have your own user account and a Travel Manager must update your role to Arranger or Global Arranger. Once this is done, Global Arrangers may book travel for any Traveler within the company's account. Arrangers may book travel only for Travelers assigned to them by the Travel Manager.

What is self-registration policy? (Travel Manager only)


Travel Managers set a company's self-registration policy and only Travel Managers may invite new users to register profiles.

No self-registration allowed — New accounts can only be created by a Travel Manager.

Self-registration with approval — A user can apply for an account, but it must first be approved by a Travel Manager before use.

Self-registration with immediate access — A user can self-register and immediately begin purchasing travel.

If you elect self-registration with approval, you will receive Pending Accounts notification (under Manage Users — Pending Accounts) whenever a user attempts to create an account and requires approval.

If self-registration is disabled, Travel Managers or Global Arrangers must create all new accounts. (See more on creating user accounts.) After these accounts are created, these users will receive an automatic e-mail detailing instructions on how to reach the Egencia site. Users must then be notified in a separate communication of the password used in creating these accounts — they will need this information to log in to the account. For security considerations, the automatic e-mail sent upon account creation does NOT include the password. Once users receive the automatic e-mail and receive their password from the Travel Manager or Global Arranger they’ll be able to reach the site, complete their profiles and begin booking travel.

What is Manage Users?


Manage Users is an administrative feature under Company Tools that allows users with the role Travel Manager the ability to search for users within a company account, manage the users within that company account, change profile information for other users, add users to their traveler list and add new user accounts to the company account. Global Arrangers and Arrangers can access a few of these features, and travelers can only manage their own accounts.

How do I create user accounts for others?



For Travel Managers:
From the main Manage Users page, go to the New User Account page. Simply fill out all the information requested and click Create New Account. An e-mail confirming account creation will be sent to the user at the e-mail address you specified for them.

For Global Arrangers:

From the homepage, go to My ProfileUpdate Traveler ListCreate a New Account. Simply fill out all the information requested and click Create New Account. An e-mail confirming account creation will be sent to the user at the e-mail address you specified for them.

For Arrangers and Travelers:

Arrangers and Travelers can only create their own accounts, and can have accounts created for them by Travel Managers and Global Arrangers.


How do I add Travelers to the list I manage?


Travelers on your list will appear in the drop-down list as you are booking air, hotel or car arrangements.

For Travel Managers updating their own lists:

On the homepage, simply click Add a Traveler to This List.

From the homepage, go to Manage UsersNew User Account or Manage UsersUser List. You automatically manage the entire list of travelers for your company, and are responsible for assigning Travelers to Arrangers.

For Travel Managers updating Arranger lists:

From the homepage, go to Manage UsersUser List[name of your Arranger]. In their profile go to Update [name of your Arranger]'s Traveler List.

For Global Arrangers:

On the homepage, simply click Add a Traveler to This List.

From the homepage, go to My ProfileUpdate Traveler ListAdd Additional Users to Traveler List. Then from the list of travelers, check Add next to the user names you want to add.

For Arrangers:

You can not access the traveler list directly, you must be assigned users by the Travel Manager.


How do I edit another user's account?


For Travel Managers:
From the main Manage Users page, go to the User List page and click on the user. Only Travel Managers have the ability to edit user profiles directly from the Manage Users module. In order to edit a user account, simply click on the traveler's name in the list. You will then enter that user's profile and may change information as necessary.

For Global Arrangers:

From the homepage, go to My ProfileUpdate Traveler List, then click on the user. Changes may then be made as necessary. Note that this traveler must be added to the your list of travelers before you can access his or her profile.

For Arrangers:

Arrangers only access other users’ profiles by clicking the relevant user link at the top of page (in the yellow navigation bar) once they have begun the travel arranging process.

For Travelers:

Travelers can only change their own profiles.


How do I search for a user?


Go to the User List page (via Manage Users or My Profile, depending on your assigned role). You may search for a user by:

Scrolling through the list of travelers — sorting options include: by previous and next pages, First Name, Last Name, Role, Traveler Group or Department.

Entering a name, initial letter or partial spelling into the search boxes and clicking Search.

How do I view/update itineraries?



From the homepage, click on My Trips. There you will find your own travel and that of your users in the drop-down menu.

All itineraries and associated changes will be viewable by you as well as by the traveler when logging in to Egencia.
