Booking travel options that are not available online

You call an agent toll-free to book ANY item (e.g. travel on JetBlue, Amtrak). The agent sends an itinerary e-mail containing that item back to the traveler for confirmation and saves that itinerary live on the site for reference.

    Via agents, you may also:

    • upgrade air bookings
    • arrange to get on waitlists
    • request car rental upgrades based on frequent-flyer programs
    • find better seats in preferred categories

    ... and more.

    Getting help with international itineraries

International rate desk assistance is available through our agents at our toll-free support number. They look at savings opportunities for international itineraries — particularly in the case of complex itineraries. (See more visa information here.)

Using credit cards with international billing addresses

Yes! Now, if you have a credit card with a billing address outside the U.S. you can use it for:
    • hotel reservations
    • renting car reservations
When entering your non-U.S. billing address be sure to click "Non USA billing address" to enable the international billing address format. At this time, you will not be able to book flights with your non-U.S. credit card.

    FLIGHTS

    Types of trips and searches

Flight Wizard offers you several search options. Click an option at the top of the Flight Search page, or a link in the left column to select the type of search you want to conduct.
    • Roundtrip means you will fly from one location to another, and then back to the first location.
    • One way means you will fly from one location to another, and will not return to the first location.
    • Multiple destinations means you will visit several locations and therefore need to choose flights between each of those locations.
    • Timetable search enables you to search through the entire timetable of flights for all airlines, regardless of seat availability.
    • Airline Fare List allows you to search for roundtrip flights based on destination and price first.

    Choosing a ticket class

Many flights offer Coach/Economy, Business, and First Class seating:

    • Coach/Economy class seating is in the main cabin area. This option usually yields the lowest airfare.
    • Business class seating is in an intermediate area between First Class and Coach/Economy. This option usually yields a more expensive fare than Coach and is not available on all aircraft.
    • First Class seating is in the cabin area nearest the front of the aircraft or on a separate level. It has the fewest and most comfortable seats, and offers upgraded meals. A First Class fare is usually the most expensive, and is not available on all aircraft.

    Choosing search options

To restrict your roundtrip, one-way, or multiple-destination search, select one or more of the following options. Doing so may reduce the number of lower-fare flights displayed.

    • Avoid most change penalties: Check this box if you want to see only fares that have no penalty for canceling or changing your reservation.
    • No advance purchase restrictions: Check this box if you want to see only fares that do not require you to purchase the ticket a specified number of days before the flight.

    Airlines not listed on Egencia

There is a small number of airlines for which Egencia is currently unable to supply tickets through the website. However, travelers are able to call our agents to book these airlines as a Special Request. Those airlines include JetBlue, RyanAir, and Syrian Arab Airlines. This list may change periodically.

Why doesn't Egencia find all flights?

Egencia does not return all flights that match your criteria, just the least expensive or those most closely matching your schedule, depending on the search option you choose.

    Changing flight arrangements

If you need to change your flight arrangements less than 24 hours before the flight, call Egencia at the telephone number listed on your itinerary. To cancel or change a reservation or purchase, see Changing Your Itinerary.

Better flight price advertised elsewhere — why not here?

    There are three possible reasons:

    • We show you only those flights that have seats available. The fares advertised may apply to only a few seats and those seats may have already been sold.

    • A small number of discount carriers, including Southwest Airlines, do not currently participate in our electronic reservation system. To make reservations with those airlines, you must call an agent to book. We're working to get distribution agreements with these few carriers, and will make them available to you as soon as possible.

    • A special advertised fare may be offered by a reseller company who has already purchased seats from the airlines and is reselling those seats to the public.

Different results when searching for best-priced flights — why?

Egencia is designed to find you an inexpensive flight close to the time you would prefer to depart. When you request a search for all airlines, we search through a smaller selection of flights from each airline around the departure time you've chosen. (For example, if you specify that you want to depart at 2:00 PM, we might look at all flights from all airlines between noon and 4:00 PM.) If you specify only one airline, we look at a broader range of flights throughout the day from that one carrier. Because flights at different times of the day may be more or less expensive depending upon whether or not they're "rush hour" flights, a lower-priced flight may turn up when you search on one airline.

If you're flexible with both the airline and departure time, we suggest that you search for flights on all airlines departing Anytime. This may help you to come up with better prices.

Known flight time not listed on Egencia — why not?

We show you only those flights that have seats available: all seats on the flight you're looking for have already been sold.

    Using e-tickets

Electronic tickets, or e-tickets, now offered by many major airlines, allow you to travel without a paper ticket, eliminating the worry of leaving your tickets behind. An e-ticket confirms your airline ticket purchase without requiring a paper record; the only record of an e-ticket sale is in electronic form in the airline's computer system. When you buy e-tickets through Egencia, you'll receive a confirmation of your purchase via e-mail.

    (See more about e-tickets.)

    Airlines that offer e-tickets

E-tickets are currently available on these and other airlines:
    AirTran Alaska Airlines
    America West
    American Airlines
    ATA
    British Airways
    Continental Airlines
    Delta Airlines
    Frontier Airlines
    Hawaiian Airlines
    Lufthansa
    Midwest Express
    Northwest Airlines
    United Airlines

In order to qualify for e-tickets, all segments of your trip must be flown on the same airline. While all of these airlines offer this service, e-tickets may not be available for every flight.

This list will be updated as e-tickets become available on more airlines.

Entering more than one frequent flyer number per trip

Egencia allows you to input only one frequent flyer number per customer per trip. If you need to add additional frequent flyer numbers, please give your carrier(s) the additional numbers when you check in for your flight(s).

Itinerary shows available seats for flights, but then none shown when purchasing — why not?

Because we are using a real-time reservation database, availability can change between the time an itinerary is created a ticket is reserved or purchased. Tickets are constantly being sold around the world, so a flight can be fully sold out minutes after your search. The same applies to hotel rooms and car rentals.

    HOTELS

    Egencia Preferred Rates

Egencia Preferred Rate hotels combine the cost savings of standard Expedia Special Rate hotels with amenities important to business travelers, such as high-speed Internet and late check-out. They also typically have more flexible cancellation policies than standard ESRs and may or may not allow the collection of loyalty points.

Please see individual hotel listings for more information. Most Egencia Preferred Rates allow deferred payment, and do not charge your credit card until your day of check-in. Book now — pay later.

Guaranteeing hotel reservations with credit cards

When you supply us with your credit card, we pass that number to the hotel. Your hotel reservation will be held until the date and time you indicated that you would check in. If you cancel your trip or decide to stay elsewhere, you must cancel your hotel reservation or the hotel may impose a "no-show" charge.
