Central Billing What is Central Billing? A central billing card is a credit card that is accessible by all travelers when they purchase travel with Egencia whether online or via agent over the phone. Travel Managers may store as many central billing cards as needed, allowing travelers to bill purchases to a company card rather than one of their own. Both company “ghost cards" (cards associated directly with the company) and those billed to individuals (to a department head, for example) may be used. Central Billing cards can be assigned:
What is the difference between a central billing card and a personal card? A traveler may store any number of personal credit cards in his or her personal profile. These cards will appear as payment options only to that user. Central bill cards can be entered only by Traveler Managers, but are usable by all assigned users during the purchase process. (See Traveler Group billing below.) Who can change central billing card information? Only users with the role Travel Manager have the ability to add, edit, or delete central billing cards. Credit card numbers are encrypted for your safety. (See more on credit card security.)
Travel Managers may edit a central billing card by clicking on the name of that card on the Central Billing main page. At this point, you are taken to a page that gives you the opportunity to change any of the existing fields of information for that card.
All travelers will be able to purchase travel (air, hotel, car) with any central billing cards entered by the Travel Manager for his or her Traveler Group. Central billing cards should be given distinct descriptions pertaining to their relevant departments/groups or types of travel (air, hotel or car). Can I assign billing cards by Traveler Group? Yes, Travel Managers may specify the policy groups that can use a given card on the Credit Card Information page. (See more on Traveler Groups.) How do travelers make purchases using the central billing card? Travelers must select a central billing card during the purchase process on the Billing and Delivery Information page. If there is one central bill card stored (and no personal cards stored in the users profile), the purchase will default to that card and the user must click Use a Different Card to enter another card, such as a personal credit card. If there is more than one card stored for a user (including both central billing cards and personal cards), then the traveler must select the appropriate card from the drop-down menu under Choose a Credit Card..
Central billing cards are marked with the words Central Billing. Travel Managers should ensure that travelers know the appropriate card to select during the purchasing.
Travel Managers may store as many central billing cards as needed. There is no limit. What does "card description" mean? You have the opportunity to enter a “card description" for both central billing and personal credit cards. This is the name that will appear to identify the card during the purchase process. Central billing cards should be given distinct descriptions pertaining to their relevant departments/groups or types of travel (air, hotel or car). Examples would be “Central Billing for Sales," “Central Billing for Eastern Office air travel," etc. There is a 30-character limit, including spaces, for card descriptions.
