Group Travel Planning

This new enhancement helps travel managers and arrangers book multiple travelers for the same trip. As trips with multiple travelers can be complex to book and manage, we’ve worked to simplify the process while retaining flexibility for both the arranger and the traveler as seen below:

  • Arrangers book multiple passenger flights and hotels
  • Arrangers may shop for up to six travelers in the flight and hotel search paths
  • Efficient technology designed to optimize the arranger experience
  • Passengers will be booked in their own individual Passenger Name Records (PNR), enabling easier handling when an individual traveler’s plan change
  • Individual PNR enables all policy settings, including:
    • Trip Controller
    • Profile items such as frequent flyer numbers, applied at the traveler level

As an example, Anna is arranging for three members of her sales team to travel to a conference in Atlanta. Instead of conducting three separate searches, she simply:

    • selects the travelers she wants to arrange travel for
    • enters the travel criteria
    • performs a one-flight search for all three travelers.

    At check-out time, each passenger is booked into their own itinerary.

     

    Arrangers enjoy easy-to-use controls for selecting multiple travelers as seen below.

Active trips and My Trips are updated to show individual itineraries as well as links to group itineraries.

Travelers are booked in their own Egencia Itinerary and PNR, which flags available unused tickets and enables easier changes.

Policy, Trip Controller, unused tickets, profile fields such as department codes and Custom Data Fields (CDF) are applied individually for each traveler
